Renewal deadlines are the document lifecycle events most likely to be missed — because they happen once a year (or less), are often contractually time-sensitive, and fall in the same period as other business pressures. A lease break option not exercised by its contractual notice date cannot be exercised later. A fixed-term contract not renewed or terminated becomes a permanent contract in France by operation of law. Scribe's M5 Dashboard gives you the tools to manage this without legal expertise.
The typical renewal reminder workflow is a calendar entry made at signing, a reminder that fires in the wrong person's calendar, an email chain asking "did anyone action this?", and a last-minute scramble. If the original signatory has left the company, the calendar entry is gone. If the renewal falls during a busy season, it is deprioritised and missed.
Contractual renewal provisions are particularly hazardous because they operate automatically if not actively managed:
Government filings have their own renewal logic: Companies House Confirmation Statements, ASIC annual review notices, and Bolagsverket annual accounts all have defined windows.

Alert schedule (all configurable):
Each alert goes to the assigned team member and any additional recipients set in the reminder configuration. External parties (landlords, accountants, agents) can be included as CC recipients.
| Feature | What It Does |
|---|---|
| Contractual Renewal Extraction | Break options, fixed-term expiry, notice periods — all tracked |
| French CDD → CDI Warning | Specific alert for automatic contract conversion risk |
| Statutory Filing Renewals | All 7 jurisdictions' annual filing deadlines |
| Configurable Alert Schedule | 90 / 30 / 14 / 3 / 0 / overdue — all adjustable |
| External CC Recipients | Include landlords, accountants, agents in alerts |
| Approach | Risk | Time Cost |
|---|---|---|
| Spreadsheet calendar | Version drift; owner leaves = calendar gone | High — manual maintenance |
| Accountant reminders | Gaps between review cycles; not real-time | Medium — dependent on third party |
| Calendar app entries | Created at signing; no document linkage | Low to medium — but incomplete |
| Scribe M5 Dashboard | Deadlines auto-populate; audit trail is automatic | Low — system does the tracking |

Q: Can I silence reminders for a specific document?
Yes. Any reminder can be snoozed (temporarily suppressed) or permanently disabled for a specific document. Disabling a reminder requires a comment explaining why, which is logged in the document history.
Q: What if the renewal date changes — for example, a lease is extended mid-term?
When you update a document's key dates (for example, recording a lease extension), the renewal reminder schedule recalculates automatically. The old reminder dates are archived and the new schedule activates.
Q: Does Scribe handle the renewal itself, or just the reminder?
Scribe provides the reminder and, for statutory filings, links to the relevant government portal. For contractual renewals (leases, employment contracts), Scribe helps you prepare the renewal document. Scribe does not file anything automatically on your behalf — preparation and filing remain in your control.
Renewal deadlines never sneak up. Scribe sees them coming.
