> Not legal advice. Scrib🐮 is a document preparation service, not a law firm. This article is for general information only. For advice about your specific situation, consult a qualified solicitor, attorney, notary, or legal professional in the relevant jurisdiction. Scrib🐮 does not provide legal advice, representation, or legal services of any kind.
Legal document preparation is rarely a solo activity. A company formation involves founders reviewing the articles, accountants checking the tax provisions, and operations leads confirming the registered office. A lease negotiation involves the tenant's lawyer, the business owner, and the finance team. Getting everyone working on the same version — without version chaos — requires a structured collaboration environment. Scrib🐮's M5 Dashboard gives you the tools to manage this without legal expertise.
The standard collaboration workflow for legal documents is: draft in Word, email to reviewer, receive tracked changes, merge manually, re-send. This process creates multiple competing versions, loses comments made verbally, and leaves no audit trail of who agreed to what and when.
For cross-border document preparation, the problem compounds. A UK solicitor reviewing an article of association may not know that the Australian shareholder agreement in the same deal uses different definitions. A French accountant checking the statuts may not realise the employment contract being drafted simultaneously uses a different company name spelling. Without a shared workspace, cross-document consistency is impossible to police.
Access control is also a common failure point. When external advisers are added to a shared drive or email chain, they may inadvertently access documents they should not see — or conversely, miss documents they need to review.

External reviewers (solicitors, accountants, advisers) can be invited with time-limited Reviewer access. Their access expires automatically after a set date, and all their comments remain in the document history after access is revoked.
| Feature | What It Does |
|---|---|
| Role-Based Access | Owner / Editor / Reviewer / Viewer — granular control |
| Inline Comments | Comment on specific sections; threaded and resolvable |
| Version History | Every saved version stored; side-by-side comparison |
| Approval Workflow | Designated approvers must sign off before status advances |
| Time-Limited External Access | Invite advisers with automatic expiry |
| Approach | Risk | Time Cost |
|---|---|---|
| Spreadsheet calendar | Version drift; owner leaves = calendar gone | High — manual maintenance |
| Accountant reminders | Gaps between review cycles; not real-time | Medium — dependent on third party |
| Calendar app entries | Created at signing; no document linkage | Low to medium — but incomplete |
| Scrib🐮 M5 Dashboard | Deadlines auto-populate; audit trail is automatic | Low — system does the tracking |

Q: Can a Reviewer leave comments without seeing the full document?
No. Reviewer access is per document, not per section. When you invite a Reviewer to a document, they see the full document and can comment anywhere. If you need section-level access control, use separate documents for sensitive provisions.
Q: How are comments handled after a document is finalised?
Comments remain in the document history permanently. Once a document reaches Executed status, the comment thread is archived — visible in history but no longer displayed in the active view to avoid confusion.
Q: Can we collaborate with people who don't have a Scrib🐮 account?
External collaborators need a Scrib🐮 account to leave inline comments. However, you can share a read-only preview link for Viewers who only need to see a document without commenting.
Right person. Right document. Right level of access — always.
