Before you use AI for any work task, run through this quick mental checklist. It covers the most common compliance issues and takes less than a minute. Making this a habit protects you from the vast majority of AI-related problems at work.

Before Using AI

Is this an approved AI tool? Check your company's list of approved tools. If you are not sure, ask before using it. Is the data I am about to enter non-sensitive? Review what you plan to paste or type. If it contains customer data, financial information, trade secrets, or personal employee information, stop. Use an approved enterprise tool or find another approach.

Do I have a review plan? Before generating AI content, know how you will verify it. What sources will you check against? How will you ensure accuracy?

While Using AI

Am I entering only what is necessary? Give AI the minimum information it needs to help you. Do not paste entire databases when a summary would suffice. Am I keeping personal and work AI use separate? Do not switch between personal and work tasks in the same AI session.

After Using AI

Have I reviewed the output thoroughly? Read everything. Check facts, numbers, names, and dates. Does this need disclosure? If the output will be shared externally, submitted to regulators, or used for important decisions, check your disclosure requirements.

Have I removed any data from the AI tool? Some tools let you delete conversation history. For sensitive sessions, clear the history after you are done. Am I storing the output appropriately? Save AI-generated work in the appropriate company systems, not in personal files or unauthorized cloud storage.

Weekly Review

Once a week, take five minutes to review your AI use patterns. Are you following the policy consistently? Have you encountered any grey areas that need clarification? Should you update your manager about how you are using AI?
