AI Data Classification — Which Business Data Can Go Into AI?

A Simple Traffic Light System

Data classification does not need to be complicated. A three-tier system gives clear guidance on what data can go into AI tools and under what conditions.

Green: Safe for AI

Information that is already public or has no business sensitivity. Public product information, general industry knowledge, published marketing materials, and general business questions. Green data can go into any AI tool including free versions.

Yellow: Enterprise AI Only

Internal business information that is not confidential but not public. Internal process documentation, non-sensitive communications, general project planning, and meeting notes without confidential details. Yellow data should only enter approved enterprise AI tools with data protection agreements.

Red: Restricted

Must never enter AI tools without specific security measures and management approval. Customer personal data, financial records, employee personal information, trade secrets, legal documents, health records, and any data subject to regulatory protection. The default answer for red data is do not use AI.

Implementation

Share with your entire team. Include business-specific examples. When in doubt, treat data as one level higher. Yellow becomes red if uncertain. Unlabeled data becomes yellow.

Review and Update

Review quarterly. As your business changes, new data types need classification. As AI security improves, some data may move from red to yellow with appropriate tools.
